Community fundraising terms and conditions
These fundraising terms and conditions set out the conditions of fundraising for NextSense. All individuals, organisations or groups who intend to raise funds for NextSense must read and agree to these conditions in planning and running all fundraising activities.
Processing your application
Thank you for choosing to fundraise for NextSense. Please allow two (2) business days for your application to be reviewed. Once approved, you will receive confirmation of your fundraiser and an Authority to Fundraise email.
On what basis are applications assessed?
We will approve applications where:
- We have sufficient written information.
- The activity aligns within our fundraising terms andconditions, and values.
- It does not involve unnecessary risk.
- It will provide a reasonable return.
NextSense alignment
NextSense is unable to support activities, companies, or organisations that we perceive to undermine our values. These include but are not limited to:
- Practices that use marketing techniques which contribute to inequality.
- Proceeds from the manufacture or sale of tobacco. Proceeds from gambling, such as casinos, corporate bookmakers, and state-based pari-mutuel organisations.
- Practices that abuse and/or endanger Aboriginal and Torres Strait Islander people.
Upon approval of your application, we will issue your “Authority to Fundraise” email and you can start organising your fundraiser.
Responsibilities and expectations
As a Community Fundraiser
The Community Fundraiser is the actual person, and/or organisation responsible for running the proposed event or activity and should not be a paid employee of NextSense. It is important that the event or activity is recognised as being run to support NextSense. The activity should not proceed until NextSense has issued an ‘Authority to Fundraise’.
As outlined in our Privacy Policy, NextSense is legally bound to only share details of the event or activity direct with the named Community Fundraiser on the Authority to Fundraise email.
What are the responsibilities of a Community Fundraiser?
The approved Community Fundraiser:
- Must not undertake any door to door, street sales or telephone-based approaches for donations to be made in connection with the activity.
- Is responsible for the coordination and management of the activities, associated licenses, required insurances, publicity, and communications with NextSense and the community, procurement of prizes, services, volunteers, and personnel.
- Assumes full responsibility for managing the activity in an appropriate way and that the event is conducted and promoted in the Community Fundraiser’s name.
- Accepts and is responsible for all associated risks including minimising any risk associated with the fundraiser and is responsible for all safety issues relating to the event, volunteers, and personnel.
- Must disclose any prior or current criminal convictions for financial fraud before approval is awarded.
- Ensure children under the age of 18 collecting handling, or managing funds are under the supervision of a responsible adult over the age of 18.
Are there any financial and administrative responsibilities as a Community Fundraiser?
When you agree to become a Community Fundraiser, you agree to be responsible for the administration and all matters related to the staging or conduct of your activity. It will be your responsibility to:
- Seek the required permits relating to activities such as raffles, lotteries, auctions etc.
- Collect, hold all funds collected in a secure environment and reconcile the funds relating to any fundraising activities undertaken.
- Ensure that when counting funds, there are two people present.
- Record all expenses and income in a log for the event or activity.
- Aim to maintain costs at no more than 40% of the total income.
- Pay any invoices relating to your expenses and ensure that they are not to be addressed to NextSense.
- Provide all funds to NextSense within 14 days of the expiry of the ‘Authority to Fundraise.’
Legal responsibilities
- The event must comply with all relevant Australian Federal and State Laws.
- The Community Fundraiser is responsible for obtaining and maintaining any appropriate insurance for their fundraising event, including public liability insurance. NextSense’s public liability insurance does not cover people who choose to fundraise on our behalf. We are not liable for assessing or managing any risks associated with the fundraising event you are organising.
- The Community Fundraiser must obtain all necessary and relevant licenses if required e.g., local council approvals to run the fundraising event.
- The Community Fundraiser must ensure the event is recognised as being run to support NextSense and therefore properly account for all income/ expenses incurred as well as ensure all activities and actions are appropriate and do not bring any disrepute to NextSense.
- The information you supply to NextSense will also be provided to the relevant government agencies in your state upon request, should licenses be required.
- If a registered Community Fundraiser has not raised any funds in over a year, the fundraising authority will cease, and all promotion associated with the activity must be terminated.
- NextSense accepts no responsibility for any loss, liability, or injury, occupational, health, safety and welfare claims arising from any fundraising event. It is the responsibility of the Community Fundraiser to ensure the safety of themselves and any attendees of their fundraising event, including providing first aid services if they are needed.
- You agree to release NextSense to the fullest extent permitted under law from all claims and demands of any kind associated with the fundraising event and indemnify NextSense for all liability or costs that may arise in respect to any damage, loss or injury occurring to any person in any way associated with the activity caused by your breach of these responsibilities or negligence.
- NextSense reserves the right to withdraw your authority to organise a fundraising event at any time if it appears to NextSense that the fundraising event may negatively affect the image or reputation of NextSense or if NextSense believes there’s a likelihood of you not meeting any of these terms and conditions.
- Registered Community Fundraisers must comply with the NextSense Privacy Policy
- NextSense may amend these Terms and Conditions at any time and upon amending them we will re-post them on our website. All registered Community Fundraisers will be bound by the amended Terms and Conditions from that time.
Working with NextSense
Once your event or activity is confirmed, you will receive support from one of our Community Fundraising team in the form of tips and tools via email, SMS, and phone. We’ll also link you to assets for you to download to help make your fundraiser a success.
Please note that NextSense cannot provide assistance with:
- Provision of any NextSense related database for promotion or marketing purposes.
- Promotion of sales/events through any NextSense social media channel.
- Prizes for your fundraising activities such as auctions, raffles, competitions etc.
- Applying for relevant permits, licenses or insurance cover related to your or any related third-party activities.
- NextSense staff to run the events.
- Sale of tickets, products, or services as part of your initiative
- Reimbursement of event related expenses.
- Financial contributions to any event related promotional materials or equipment.
Is it OK to approach NextSense supporters/partners for involvement in community fundraising activities?
No, NextSense has many corporate partners and sponsors that support the foundation all year round. As these companies are already very generous supporters of the foundation and are approached frequently throughout the year, we ask that you do not approach these companies. These companies are listed on the NextSense website.
How should I promote my association with NextSense?
Please state “Proud Community Supporter of NextSense.” It is important to be transparent and make it clear that you are conducting the fundraising activity and that your event is not run by NextSense.
After the event
What do I do once my activity has finished?
- Complete the Banking Your Funds form.
- Provide the funds raised to NextSense within 30 days of the completion of your activity.
Acknowledgement of your contribution
Only once funds are received can NextSense issue an official thank you letter and/or receipt (if applicable) and acknowledgement of your contribution.
Tax deductible and non-tax-deductible receipts
The issuing of tax-deductible receipts is based on conditions outlined by the Australian Taxation Office (ATO) In summary:
- Tax deductible receipts may be issued when donations are made on a purely voluntary basis with no conditions attached.
- Tax receipts are not issued when a payment results in the receipt of a good or service or the donation is not deemed to be unconditional e.g., recognition of sponsorship, as this is not classed as a donation or gift. This also relates to purchasing raffle tickets, entry fees or auction items and sponsorship.

Official NextSense receipts
- Donations of $2 and over are tax deductible.
- You, as the Community Fundraiser, will receive a letter to acknowledge the funds raised. This is not a tax deductable receipt.
Consent to share images and messages
You, as the Community Fundraiser, give consent to NextSense to use all photos, videos, quotes, and stories shared with NextSense. It is your responsibility to ensure all persons in the photos have given their consent for their respective photographs to be provided to NextSense for promotional purposes. You can withdraw your consent at any time by letting us know. NextSense will contact the Community Fundraiser prior to using any photos for promotional purposes. NextSense does not take any responsibility for or incur any liability if you have breached your obligations under any Federal or State Law, without limitation, the Privacy Act 1988 (Cth).
